SBL-Khas Step by Step: Applying for an AI Training Grant on eTRiS

An eTRiS-by-eTRiS-screen walkthrough of how to apply for an SBL-Khas grant for an AI training cohort, written for HR managers who file the paperwork themselves.

Most HR managers do not need an end-to-end consultant to file an SBL-Khas application. They need a clear walkthrough of which screens in eTRiS to touch, what to upload, and what NOT to leave to the day before training.

Before you log in to eTRiS

Have these three things on hand:

  • A signed quotation from your HRD Corp registered training provider, with the registered course code printed on it.
  • The trainer\'s CV (PDF) with their HRD Corp trainer ID.
  • The programme outline — module list, duration, learning outcomes, evaluation method.

1. Open a new SBL-Khas grant application

From your eTRiS dashboard, choose Grant → Apply Grant → SBL-Khas. Fill in the basic employer details. The system pulls most of these from your registered profile — verify they are current, especially your authorised representative\'s contact details.

2. Add the training programme

Search by the course code printed on your quotation. Selecting the right course code auto-populates the title, learning outcomes, and trainer fields. Do not retype these manually — reviewers cross-check against the master record.

3. Add cohort dates and seats

Pick start and end dates that leave a working-day buffer on either side. List the participants by name with NRIC and designation. If your cohort is a mix of Malaysian and foreign staff, double-check eligibility for each individual — the system will flag this, but it is faster to clean up before submission.

4. Upload the supporting documents

Three uploads almost always come back with queries if you skip them:

  1. Quotation in HRD Corp-friendly format (line-itemed: trainer days, materials, platform).
  2. Trainer CV with HRD Corp trainer ID visible.
  3. Detailed programme outline (one PDF, not split across emails).

5. Submit and track

Once submitted, the application moves through HRD Corp\'s review queue. Most SBL-Khas applications close within 7–14 working days. Watch the eTRiS portal for queries — they have a short response window.

The most common rejection reasons

  • Course code mismatch. The quotation references a different version of the programme than what is registered.
  • Trainer not yet registered. The trainer named on the application is not yet listed under the provider on the HRD Corp register.
  • Cohort starts too soon. The training start date is within 14 days of submission, leaving no buffer for review.

After the cohort runs

You have six months from the training completion date to submit the claim. Do not wait. Most TrainHRDF clients file within two weeks of completion using the documentation pack we hand over.
